The story of ResumETTE: How a bold idea turned into an AI tool embraced across Etteplan

CVs are a business-critical part of Etteplan’s customer work. Every proposal, bid, or presentation includes them, because they showcase the skills and experience of the experts who will carry out the work. A clear and professional CV builds credibility and trust, often tipping the balance in competitive situations.

Despite their importance, preparing CVs for customers was rarely easy. Managers and consultants spent countless hours updating Word templates, adjusting layouts, and struggling to keep documents consistent. Under tight deadlines, the process was stressful and inefficient.

There had to be a better way.

Enter ResumETTE — our internal AI-powered solution born from bold thinking, collaboration, and a shared ambition to improve our ways of working. Today it is transforming how we create, update, and adapt CVs for customer projects, making our people’s skills visible quickly, consistently, and at scale. This not only accelerates customer projects but also strengthens Etteplan’s own business.

A bold idea takes shape

The story began in early 2024, when Johan Mattsson, Team Manager in Software and Embedded Solutions in Sweden, found himself once again wrestling with CVs. Around the same time, Software Engineering Consultant Dennis Molund had just joined his team, bringing with him expertise in applications and a strong curiosity for AI tools and what they could do.

“Dennis was burning with enthusiasm,” Johan recalls. “He had already been experimenting with AI, generating text and images, and he showed me what was possible. I was impressed and immediately saw the potential if we could integrate this technology into our internal processes.”

Together, the two discussed the opportunity to explore and learn how to implement generative AI in applications. They decided to channel that energy into fixing something that frustrated everyone: the tedious manual work of editing CVs.

Even though Dennis and Johan have since continued their careers outside Etteplan, the legacy of their idea lives on in ResumETTE.

During the quiet project period in the summer, the two rolled up their sleeves and worked in tandem tirelessly to create a small prototype.

Giving ResumETTE its spark

As the prototype began to take shape, Johan reached out to Cassandra Källgren, Marketing Communication Coordinator to help bring visual structure to the idea. Cassandra designed the ResumETTE logo and helped develop the first layout aligned with Etteplan’s (then) new visual identity. This made the concept feel tangible and was instrumental in helping better "sell" the idea when it came time to present the idea at Inspiration Days in Sweden. Inspiration Days is Etteplan’s annual manager event focused on sharing success stories, customer experiences, and insights — as well as inspiring collaboration.

“The goal was to design a layout that followed our visual identity but could also adapt to many different cases and titles,” Cassandra recalls. “The challenge was creating something flexible enough to fit different situations — not just for the initial prototype, but as a foundation for future templates.

Roaring applause at Inspiration Days

As September rolled around after a summer of relentless work, Johan and Dennis presented their prototype at Inspiration Days in Sweden — where it was met with roaring applause.

People across the company had been struggling with the same issue — and suddenly, they saw a solution to their headache.

“There was a standing ovation. People went nuts,” says Benjamin SjögrenDirector of Business Applications & Architecture. “Managers were literally shouting, ‘Why doesn’t everyone have this tool now?’ That was the turning point.”

From inspiration to implementation

Turning an idea into a group-wide AI solution required structure. Jari Axén, Lead Enterprise Architect, stepped in as Project Manager to lead the effort while Benjamin Sjögren provided governance and resources.

"My role was to make sure ResumETTE didn’t just solve a local problem but became a solution for the whole company. That meant driving the project forward, clarifying requirements when needed, and always keeping the bigger picture in mind,” Jari explains.

“My role was to balance the excitement with discipline,” Benjamin adds. “We had to make sure ResumETTE wasn’t just a side project but a solution that could scale across the company.”

From prototype to product

Much of the early AI development for ResumETTE was carried out by Application Expert Tobias Grönhagen, who had joined Etteplan through the Cognitas acquisition in 2022.

“The biggest changes I had to make involved streamlining the code,” Tobias explains. “My task was to make it efficient and usable. We also redesigned the interface when feedback showed people were overwhelmed. That loop of feedback and improvement has been essential.”

AI is also at the core of features like translation, formatting consistency, and automatic standardization of resumes. By automating repetitive work, ResumETTE frees employees to focus on content quality and customer needs.

Driving adoption across Etteplan

Building an AI solution is one thing — getting people to actually use it is another.

“Eighty-five percent of AI pilots in companies never take root,” notes Sampsa Guenat, Product Owner of ResumETTE. “The real challenge is making AI part of daily routines.”

For Sampsa, this has meant being close to users — building groups in different countries, listening to feedback, and showing how ResumETTE can fit naturally into daily work.

“I’ve spent time building user groups, listening to feedback, and showing how the tool fits into everyday tasks,” he explains.

This hands-on approach has paid off. Right after launch, usage peaked at more than 800 CVs in a single month. Since then, it has stabilized at around 500 CVs every month — saving countless hours of manual editing and giving managers the ability to respond to customer requests faster, with greater consistency and professionalism.

Real impact today

ResumETTE has changed how Etteplan presents expertise to customers. Instead of inconsistent documents, we now provide unified, professional resumes quickly and at scale.

The impact is not just about consistency — it’s also about efficiency and reliability. By automating manual editing, ResumETTE can reduce the time managers spend on CV preparation by up to 80%. A manager who previously needed 30 minutes to tailor a single CV can now prepare more than ten higher-quality CVs in the same time. This means faster responses to customer requests, higher hit rates for business opportunities, and a significant boost in manager satisfaction.

ResumETTE also ensures accuracy and compliance. Managers can match generated text directly to both the consultant’s profile and the job description, ensuring that no skills are falsely included.

“Users are actively using it and suggesting improvements,” says Tobias Grönhagen. “That constant feedback loop ensures the AI solution keeps evolving.”

Benjamin adds: “We didn’t just build another tool. We applied AI to a very specific business challenge. That makes ResumETTE both state-of-the-art and uniquely ours.”

As part of Etteplan’s growing global delivery capability, BJIT, Etteplan’s strategic partner in Bangladesh, has also contributed to the ongoing development of ResumETTE. Their collaboration has helped accelerate implementation and strengthen the tool’s scalability for future needs.

Looking ahead

The next wave of AI-driven improvements is already taking shape.

One of the most anticipated developments within ResumETTE is Resume Search, a new feature currently being developed. The idea is simple: managers can take customer requirements, enter them into a search field, and instantly see the best matching resumes, whether through short keywords or longer project descriptions.

Although the feature is still evolving and needs further refinement in sorting and ranking, it already represents a major step forward.

Once introduced, Resume Search will make it easier and faster for managers to find the right people for each customer case. It will eliminate the need to dig through old files and help teams respond to customer requests faster and with greater consistency.

ResumETTE’s evolution may also include tighter integration with other systems.

“Recruitment pipeline integration is another important step,” explains Jari Axén, ResumETTE Project Manager. “It would help us match new candidates faster and keep CVs consistent from the very beginning.”

For Sampsa Guenat, the real opportunity lies in harnessing all of Etteplan’s competence data.

“We have a huge amount of competence data across Etteplan. If we can harness that with AI, we could create a truly comprehensive picture of our skills. That would be a game-changer.”

Transformation with AI never stops

ResumETTE began as a small experiment and grew into a solution embraced across the company. It shows what happens when bold ideas, persistence, and teamwork come together to solve a challenge that many people had struggled with for years.

“Innovation in the spirit of Bold Thinking was the spark, but collaboration in the spirit of Smarter Together is what made ResumETTE scale. And through it all, we’ve maintained a Forward Focus mindset of continuous improvement,” Benjamin reflects.

The journey of ResumETTE proves that curiosity, persistence, and collaboration can transform the way we work. What started as a local prototype has become a group-wide solution that saves time, builds trust with customers, and strengthens our ability to win business.

The people who were involved in the ResumETTE project are hopeful that their story will inspire others at Etteplan to bravely push their own ideas forward.

“AI opens up so many avenues for problem solving,” Benjamin reflects. “When harnessed the right way, it can be a superpower of sorts. But we must keep its limitations in mind. It won’t do the work for us — we are still the heroes of our own story.”
